At Marianatha Tours, we pride ourselves on delivering exceptional, personalized travel experiences. To ensure a seamless and efficient process, we’ve outlined the steps for implementing our trip planning fee policy. This ensures clarity and a smooth journey from inquiry to final booking.
Step 1: Initial Inquiry
- What Happens:
Travelers contact Marianatha Tours via phone, email, website, or social media with their travel inquiry.
Step 2: Complimentary Initial Consultation
- What Happens:
A free 20–30 minute consultation is scheduled to discuss the traveler’s preferences, needs, and goals in detail.
Topics covered: destinations, budget, special requirements, and the scope of services needed.
- Both parties assess whether Marianatha Tours is the right fit for the traveler’s needs.
Step 3: Planning Fee
- Travelers are informed that a non-refundable planning fee is required before detailed research, itinerary design, and quotes are provided.
- The fee structure and its benefits are explained, including what’s covered and why the fee is separate from the trip deposit or package price.
- Fee Ranges:
- Groups of 10 or more travelers: 150–350 CAD (depending on complexity)
- 1–9 travelers: 250–500 CAD (depending on complexity)
Step 4: Authorization and Payment
- What Happens:
Travelers complete and sign the Trip Planning Fee Authorization Form, which includes:
- Number of travelers
- Agreed planning fee amount
- Payment method
Payment is collected before any trip research or itinerary development begins.
Step 5: Trip Research and Proposal
- What Happens:
Marianatha Tours begins the planning process, providing up to two customized travel options based on the information shared during the complimentary consultation.
- Each option is tailored to the traveler’s goals, preferences, and budget, and includes:
- Detailed itineraries
- Estimated pricing
- Any recommended upgrades, perks, or concierge services
- Revisions Policy:
Travelers review the proposal and select their preferred option or request up to two minor adjustments to the provided itineraries.
- Minor adjustments include changes to accommodation preferences, activity schedules, or transportation details.
- Important: Revisions must align with the information provided during the free initial consultation. If the requested revisions are significantly different from the initial information gathered during the consultation, an additional trip planning fee will apply to cover the time and resources required for substantial changes.
After finalizing the preferred option, travelers approve the itinerary and proceed to the booking stage.
Step 6: Booking and Final Trip Preparation
- What Happens:
Once the traveler confirms the itinerary, the trip deposit is collected, and Marianatha Tours finalizes all bookings with trusted suppliers.
- Travelers receive a detailed final itinerary with all booking confirmations.
- Ongoing support is provided until the trip is completed.
Important Notes
- Customized Trips Excluded:
Customized trips organized directly by Marianatha Tours, such as our scheduled pilgrimage tours, are not included in this trip planning fee policy. These trips have separate pricing and terms.
- Non-Refundable Fee:
The planning fee is non-refundable and is not applied as a credit toward the trip deposit or package price.
